Privacy Policy
How KinderBee handles your family's information, in plain language.

What we collect
To run your school workspace, KinderBee stores the information the school and its families provide, including:
- Account details — names, email addresses and phone numbers used to sign in and stay in touch.
- Child profiles — a child's name, date of birth, class, allergies, medical notes, languages, blood group and authorised pickup persons.
- Attendance and care records — daily check-in, check-out and care notes logged by staff.
- Photos and media — pictures shared with the school for profiles or classroom moments.
- Messages — conversations between school staff and linked guardians inside the app.
How we use it
Information is used only to operate the school's day-to-day care and learning — recording attendance, keeping children safe, sharing updates with families, managing fees, and producing the reports the school needs. We do not sell your information or use it for advertising.
Who can see it
Access is limited by role. Authorised school staff can see the records they need to care for and teach the children. Guardians can see information about the children linked to their own account, and the messages they exchange with the school. Families cannot see other families' children or private records.
Data security
Your data is stored on Google Firebase (Cloud Firestore, Storage and Authentication), an industry-standard secure cloud platform, with encryption in transit. Access requires a verified account, and sign-in details should be kept private. Please tell the school office straight away if you believe your account has been used by someone else.
Services we rely on
KinderBee uses a small number of trusted service providers to run the app. We share only what each one needs to do its job, and never for advertising:
- Google Firebase — secure storage, sign-in, file storage and push notifications for everything in the app.
- Hubtel — if you sign in with your phone number, your number is sent to this SMS provider to deliver your one-time code.
- OpenAI — when a staff member asks the in-app assistant for help, the relevant school details (which can include a child's first name and care notes) are sent to OpenAI to draft a reply. This is staff-only, the result is always a draft a teacher reviews, and the content is not used to train its models.
Keeping & deleting your data
Your information is kept while your account is active and for as long as the school needs it for its records. You can delete your account at any time in the app under Settings → Delete account — this permanently removes your sign-in and personal profile, your saved devices, and unlinks you from your children. A school's own records about a child belong to the school and are kept by the school; contact the office to have a child's information reviewed, corrected or removed.
Children's data & parental consent
KinderBee is a tool for schools and families — it is not aimed at children, who do not create their own accounts. A child's information is entered and managed by the school and the child's parents or guardians. By providing a child's details, a parent or guardian confirms they have the right to share that information for the school's care and education purposes. You may ask the school to review, correct or remove a child's information at any time.
Contact the school
You can delete your own account at any time in the app (Settings → Delete account). For any question about your information, your child's records, or to request a copy or correction, please contact your school office directly — the school owns its records and is your first point of contact for privacy requests.
